Small businesses play an important role in South Africa’s economy, but managing day-to-day operations remains a significant challenge. With tight budgets, many small and medium-sized enterprises (SMEs) rely on basic business systems with limited functionality. As a result, many processes remain manual, making it difficult to track orders, manage inventory, and ensure timely order fulfilment. Rather than driving business growth, owners spend much of their time keeping day-to-day operations running.
Bee Inspired, a small family-owned business in South Africa, is one example of an SME facing these challenges. The company produces and sells natural honey from its own beehives, handling honey collection, storage, and packaging in-house. Its product range also includes gift sets and accessories. Bee Inspired sells its products through an online store powered by Shopify and also operates its own retail store, and managing day-to-day operations still requires considerable manual effort.
Key challengesWhile Shopify provides a convenient way to receive orders and access payment information, some aspects of the business still require manual intervention. This includes checking stock balances in Shopify against actual inventory, taking time away from other activities. The business also lacks a systematic way to assess order profitability. When suppliers increase their prices, Bee Inspired needs to review product costs to understand how these changes affect profitability. In addition, the company would benefit from automated stock monitoring that could alert the owner when supplies such as jars and branded labels need to be reordered.
These challenges highlighted the need for a more integrated approach to managing orders, inventory, and financial information. With no single system, maintaining accurate records and making timely decisions can become increasingly demanding. Bee Inspired therefore approached our team for assistance in streamlining its business processes, improving stock control, and gaining better visibility into product costs and profitability.
RequirementsFor our team, the main objectives of the Rise Business implementation were:
- Integrate Rise Business with Shopify to centralise order and business data.
- Automate order management, ensuring that orders placed through Shopify are reflected in Rise Business.
- Improve inventory control by maintaining accurate stock balances and monitoring stock levels.
- Enable timely replenishment of packaging materials, such as jars and branded labels.
- Improve visibility into product costs and profitability, including the impact of supplier price changes.
- Reduce manual data handling and routine operational tasks.
- Provide a more structured and transparent approach to managing orders, inventory, and financial information.
Implementation ProcessThe implementation focused on integrating Rise Business with Shopify to establish a seamless exchange of product, inventory, customer, and order data between the two systems.
1. Connecting Rise Business and ShopifyThe first step was to establish a secure connection between the systems, enabling them to exchange data automatically. The integration was designed to keep product and inventory information in Rise Business synchronised with the online store, while customer orders from Shopify were transferred to Rise Business for further processing.
2. Synchronising products and inventoryProduct information is exported from Rise Business to Shopify, including product descriptions, prices, variants, barcodes, and images. Inventory balances are also synchronised, ensuring that the online store reflects stock levels recorded in the business management system. Rise Business remains the primary source of product, pricing, and stock information, reducing the need to update these details manually in multiple systems.
3. Automating order processingOrders placed through Shopify are automatically imported into Rise Business and registered as sales orders, including product details, discounts, delivery information, and shipping costs. The integration also identifies previously imported orders to prevent duplicates and updates their statuses when necessary. Depending on the configured workflow, the system can also automate related steps, such as stock reservation, payment registration, and customer invoicing.
4. Managing customer informationThe integration matches customers in Shopify with existing customer records in Rise Business using their unique identifiers. Where configured, new customer records can be created automatically, helping maintain consistent customer information and reducing duplicate data entry.
5. Integrating retail salesThe integration also supports sales made through Shopify Point of Sale (POS) in Bee Inspired’s physical store. Retail transactions are transferred to Rise Business and recorded as cash register receipts. The integration links the Shopify location to the corresponding warehouse and cash register in Rise Business, while automatically handling cash shifts as part of the import process. This brings online and in-store sales into one business management system, helping maintain consistent inventory records across both sales channels.
6. Automating data exchangeThe synchronisation process runs automatically in the background according to a scheduled job. Changes to products and orders are tracked so that the systems can exchange relevant updates without requiring employees to initiate every operation manually. Exchange results and errors are recorded, making the process easier to monitor and troubleshoot.
